KinCareCircle records health information about somebody who is usually not the person holding the account. We have tried to write this page the way we would want it written about our own families.

Where your information is today

As the app currently works, everything you enter stays in your own browser on your own device. It is not sent to us, we cannot read it, and it is not backed up anywhere. That will change when shared circles arrive — this page will be updated before that happens, and we will tell you.

What we collect

About you

Your name, email address, optionally a phone number, your relationship to the person being cared for, and what you do in the circle. If you join the waitlist, just your email address and optionally the kind of care you are giving.

About the person you care for

Their name, date of birth, phone number and address; their medical conditions, allergies and medication; emergency contacts; what was done for them each day; appointments; notes about how they have been, including mood and incidents; and any documents you add, such as discharge letters.

Most of that is health information, which UK data protection law treats as a special category and holds to a higher standard. We treat it that way.

The person you care for has rights too

This is the part most apps like this skate over. The information is about them, not about you, so the rights below are theirs — and you are recording it on their behalf.

If they can understand what the app is, tell them it exists and what goes in it. If they cannot — through dementia or incapacity — record only what is genuinely needed to look after them well, which is also the rule you would apply to anything written in a care folder left on the kitchen table.

If they, or someone acting for them, asks us what is held about them, we will answer.

Why we are allowed to hold it

  • Your own details — to provide the service

    We need your name and email to give you an account, and to tell you about the circles you are part of. The lawful basis is performance of a contract with you.
  • Health information — explicit consent

    Health information about the person being cared for is held on the basis of explicit consent: theirs where they can give it, and otherwise recorded by you in their vital interests, to make sure the people looking after them know what they need to know.
  • The waitlist — consent

    You asked us to tell you when the app is ready. That is the only thing we will use your address for, and every message we send will let you leave the list.

Who else sees it

Nobody, today — it does not leave your device. When shared circles arrive, what you record will be visible to the other people in that circle, which is the entire point of it, and to nobody else.

We do not sell information, we do not share it with advertisers, and we do not use it to train anything. The suppliers we rely on to run the service — hosting, and the email provider that will send you the one waitlist message — handle it only on our instructions.

How long we keep it

Care records stay until you delete them or close the circle. Waitlist addresses are deleted once the app has launched and we have told you, or sooner if you ask. Nothing is kept because it might be useful to us later.

Your rights

  • See what is held

    Ask us for a copy of everything we hold about you. In the app as it works today you already have it — it is on your device, and the export button produces it as a file.
  • Correct it

    Anything wrong can be edited in the app directly. Where we hold something you cannot reach, tell us and we will correct it.
  • Have it deleted

    Ask and we will delete it. Deleting the app, or clearing your browser data, already removes everything held on that device.
  • Take it elsewhere

    The export is plain text and yours. We will not make you ask, and we will not charge for it.
  • Object, or complain

    You can object to how we handle your information, and you can complain to the Information Commissioner's Office at ico.org.uk. We would rather you told us first, but you do not have to.

Asking us anything

The support mailbox opens with the app. Until then, there is nothing held about you beyond a waitlist address, if you gave us one.
